ESRF Publications in Proposals and Proposal Reports - My Publications

The new proposal submission tools of the ESRF User Portal automatically list the ESRF publications of the investigators listed on new proposals. It is not possible to include or add ESRF proposals manually. 

The ESRF publications listed in the proposal are taken from the new “My Publications” page of each investigator; it is therefore vitally important that each user maintains an up-to-date and accurate “My Publications” list in his/her User Portal profile. Publications can only be imported by the user into his/her “My Publications” page if they have already been registered in the ESRF/ILL Library database.

The proposals will display all ESRF publications of each investigator published in the last 4 years.

The same “My Publications” list is also used to automatically list ESRF publications in the Annual Reports of MX BAG proposals (and in the future also for LTP, HUB, BAG reports). In this case, the ESRF proposal number(s) linked to the ESRF publications are used (as well as the beamline linked to the ESRF publications for MX BAG reports), and so it is essential to ensure that your publications are properly linked to the correct ESRF proposal number(s) and correct ESRF beamline(s). This should be done at the time of registering your publication in the ESRF/ILL Library database, but if you have forgotten or need to update information, please contact the Library with the proposal reference and information to add/correct.

The proposal reviewers pay particular attention to the “Publications” section of the proposal form that illustrates the scientific productivity of the proposal team. It is therefore very important that this information is filled in completely and correctly.

It is not possible to include or add ESRF publications manually to a proposal form since, according to our Terms & Conditions - Publication Rules, all publications arising from ESRF data must be registered in the ESRF/ILL Library database and it is each user’s responsibility to ensure that these publications are also listed in his/her “My Publications” list.
 

The “My Publications” list of each user is used to automatically fill the “Publications” section of any new proposals on which the user is listed as a PI or CI. 

You can only add publications to your “My Publications” list if they have already been registered in the ESRF Library database. To import a publication from the Library database to your “My Publications” list, enter the DOI and click on “Add to my publications”. To import multiple publications, enter the list of DOIs, separated by a space, comma or carriage return, and click on “Add to my publications”.

  • status of the publication in the Library database:
             Publication pending.png =  “Pending” approval from Librarian. This publication can be included in proposals. 
    Publication approved.png =  “ESRF Publication” status validated by the Librarian. This publication can be included in proposals. 
    Publication rejected.png =  “Not ESRF Publication” as there is no clear link to data collected at ESRF or no ESRF author. This publication will NOT be included in proposals.


 

Once a scientist creates a new proposal as PI, or is added to a new proposal as CI, the list of his/her ESRF publications from the past 4 years is imported from his/her “My Publications” list directly into the proposal. Within a proposal, the list of ESRF publications from the different investigators are listed in the "Full proposal team publications list".

Most relevant publications

The Principal Investigator is asked to select in the "Full proposal team publications list" up to 10 ESRF publications that are the most relevant to this particular proposal application, these will then appear automatically under the "Most relevant publications" header. This allows the proposal reviewers to see the scientific productivity of the proposal team as well as being directed to those publications that are the most relevant to the research proposed in the new proposal.

Up until final submission of the proposal, if the “My Publications” list is updated, the ESRF publications listed in the proposal will be updated accordingly. On submission, the pdf file of the proposal is created according to the publication status at that time and so must be checked by the PI before submission. After the submission step, any change in the “My Publications” list will not impact the content of the proposal pdf file. 
 

  • MX-BAG

The automatically generated statistics part of annual reports uses the “My Publications” lists of all participants in the proposal (PI, CIs and Users) to collect all ESRF publications linked to the ESRF Proposal ID being reported on (e.g. for the Annual Report on CH-1234, all ESRF publications from “My Publications” lists of the PI, CIs and Users of CH-1234 that are linked to the CH-1234 proposal number will be automatically imported and listed). If the proposal number is not linked to the publication, it will not be imported so please make sure that all concerned publications are linked to the correct proposal ID. Only publications from the appropriate reporting period are concerned, i.e. for the past year for Annual Reports, and for the past 3 years for LTP and HUB Final Reports.

  • LTP, BAG and HUB

The workflow above will also be implemented in the near future for the proposal reports of LTP, BAG and HUB proposals. Therefore, please ensure that your publications are linked to the relevant proposal IDs and beamlines.

To facilitate the first update of your ESRF publications in your User Portal profile, you will find below an extraction of all publications in our Library database that are associated with a DOI and have been published in the last 4 years:

  1. Open the Excel extraction of the Library publications (extraction date: 19/05/2024)

  2. Use the filter option in the authors column (1st column) to search for your publications by entering your name then clicking on the button "OK".

  3. Check the filtered list and hide or remove any rows that do not correspond to your publications (from someone with same name and initials).

  4. Select and copy the list of corresponding DOIs (last column).

  5. Paste the list in the "Enter DOI(s)" field of the “My Publications” page in your User Portal profile. Press Enter or exit the field, then click on the "Add to my publications" button.

If you or members of your proposal team are new or recent ESRF users, or if you want to draw the attention of reviewers to any non-ESRF publications from the proposal team that are relevant, you must use the section entitled “List of non-ESRF publications relevant for the proposal” in the “Publications” tab of your proposal to list relevant non-ESRF publications. This is very important to show the reviewers the scientific expertise of the proposal team and their productivity.

Non-ESRF publications may be added directly by using the DOI or manually by entering the publication information.
