The 13th ESRF Users' Meeting will be held on Wednesday 12th February 2003, with plenary and poster sessions in the Espace Congrès World Trade Center (formerly Atria) in central Grenoble. 

In the morning, the Director General, W.G. Stirling, will report on new features and future plans for the ESRF. This will be followed by four plenary talks highlighting some very recent advances made at ESRF. A buffet lunch will be served, followed in the early afternoon by presentations of recent results together with discussions within several subgroups. Participants can choose their discussion group according to their scientific interest when submitting the registration form for the meeting.

The afternoon session will continue with the traditional Young Scientist of the Year award ceremony and talk. This year again, the late afternoon poster session will be extended for two hours, and younger participants especially are encouraged to show their results. The best poster will be selected and awarded a prize during the banquet in the evening.

Remember that the registration fee of 110 Euro covers attendance at both the Plenary Meeting and workshops. Please note that a limited number of bursaries will be available for young scientists, please send an e-mail to the secretary of the respective workshop for further details.

Posters

Participants wishing to present recent results as a poster or posters should fill in the corresponding section of the Registration Form, indicating the most appropriate category. Posters of general interest will be displayed at the User Meeting, whilst posters relating to the Workshops will be displayed in association with the corresponding Workshop. Posters should be prepared so that they are no larger than 110 cm high by 85 cm wide; they will be fixed to the panels with invisible sticking tape or velcro, depending on the type of panel.

Commercial Exhibitions

We would like to welcome our colleagues from industry to introduce new products and developments to facilitate the decision-making process for new and upgraded experimental equipment. We therefore would like to bring together scientists of basic research and representatives of industry during the independent workshops on the ESRF site and on the day of the Users´ Meeting (12 February) at the Espace Congrès World Trade Center (formerly Atria).

We offer an exhibition area of appr. 3 x 4 m2 Alcoves at the Espace Congrès World Trade Center during the main session and two tables + poster panels on the ESRF mezzanine and the main entrance hall during the workshops.

Exhibitors, visitors and internal staff can meet at the ESRF during the workshops covering

  • Inelastic X-ray Scattering in Disordered Systems and Soft Condensed Matter (10 - 11 February, 2003)
  • Membrane Structure and Function - PSB Workshop (10 - 11 February, 2003)
  • X-ray detectors: the way to get more out of your beamline! (13 - 14 February, 2003)

In order to inspect equipment and working environments on the spot the organisation office will supply entrance permits and all necessary information.

To cover part of the costs of the meeting we need to charge the exhibitors a fee of 750 Euro (VAT included) per company and 110 Euro (VAT included) per exhibitor as a contribution towards lunches, refreshments and the buffet party.

We hope to offer you an interesting publicity opportunity from which the users might equally well profit. Please let us know by early January if you are interested in coming to Grenoble - detailed information (official programme with schedules and instructions for registration) will then be sent to you.

Registration

Electronic registration is now closed. Please contact the User Office for a last minute registration or if you have any queries.

Fees

Please note that all fees are VAT INCLUSIVE. A registration fee of 110 Euro will be charged for the meeting. This fee entitles you to attend:

  • the Users' Meeting plenary sessions,
  • the workshops,

and covers:

  • the Users' Meeting lunch and dinner on Wednesday 12th February,
  • refreshments,
  • two workshop meals (cost of an extra meal ticket: 10 Euro).

The registration fee is waived for invited speakers, and for persons receiving a salary or allowance from the ESRF.

Accompanying persons are welcome to attend the Users' Meeting dinner on Wednesday evening, 12th February, at an additional cost of 15 Euro per person. Please be aware that rules applying to the site do not allow us to accommodate accompanying persons in the Guesthouse.

Receipt

A receipt is issued once the payment has been registered. A copy of this receipt is given to the participant when registering at the Users' Meeting 2003 or for the workshop(s).

Payments can be made as follows

Important: If payment is subject to the SUBMISSION OF AN INVOICE, please make sure your Institute sends us the ORDER, with the following information:

  • Name of the paying Institute
  • Address where the invoice should be sent to
  • Name of participant(s) concerned
  • Amount of registration fees (N.B.: all registration fees mentioned are VAT inclusive)
  • Subject of the order
  • VAT number

Credit Card

Visa and Mastercard can be accepted. The payment form should be completed legibly, with the card number, expiry date, sum authorised and signature. Should you choose to fax your registration with payment by credit card, please be aware that there is no security available to protect your credit card number.

Bank cheque

Cheques are payable in Euro (drawn on a French bank) and made payable to "ESRF". If your lab. or institute is making out the cheque, please clearly identify the participant(s) it covers, and send the cheque together with the corresponding Payment Form.

Eurocheque

Eurocheques can be made out in Euro and made payable to "ESRF". Please write the name of the participant(s) clearly on the back of the cheque. If your lab. or institute is making out the cheque, please clearly identify the participant(s) it covers, and send the cheque together with the corresponding Payment Form.

Bank transfer

Bank transfers should be made in Euro to the account below. The charges incurred must all be covered by the participants. Accommodation

Participants are requested to meet their own accommodation expenses. The User Office can, however, assist you with bookings, and a number of pre-reservations have been made in the Guesthouse on the ESRF site, and in hotels close to the railway station in central Grenoble. Please note that for security reasons, the ESRF Guesthouse is restricted to persons participating in the meeting, and is not available for accompanying persons; further, children under 16 are not permitted on site.

Meals

The Registration Fee covers the costs of the User Meeting lunch and dinner on Wednesday 12th February and two Workshop lunches. For other meals, participants are free to make their own arrangements, and a list of restaurants will be available at the meeting reception desk. Arrangements will be made with the canteen on site to enable participants to eat there in the evenings, between 19:00 and 20:00 hours. You may if you wish, purchase additional meal vouchers for the ESRF canteen, at a cost of 10 Euro per meal (see the Payment Form).

Refreshments - tea, coffee and fruit juice - will be provided during the main meeting and workshops.

Travel arrangements - How to reach Grenoble and the ESRF

As in the past, participants are requested to make their own travel arrangements to and from Grenoble, and to cover their own travel expenses. The map shows the location of the ESRF and the User Meeting venue.

The international airports closest to Grenoble are Lyon Saint-Exupéry (1 hr), Geneva-Cointrin, Switzerland (1 hr 30 mins), and for French regional flights, Grenoble St.-Geoirs (45 mins).

Frequent shuttle buses run between Lyon Saint-Exupéry and Grenoble St.-Geoirs airports and the central Grenoble bus and railway station. From Lyon Saint-Exupéry, a return ticket costing 30 Euros can be purchased on the bus (ask for "un billet aller-retour" and keep your receipt for the return trip).

At Grenoble, Bus number 34 takes you from the bus and railway station, direction "Centre Nucléaire", to the ESRF, which is at the terminus. A new bus service, number 35, runs between the terminus of Tram B at Europole to the ESRF site. Tickets can be purchased singly from the bus driver or in a booklet of 10 ("carnet") from tobacconists and at major tram stops.

There are very good train connections from Lyon (100 km) and Paris (450 km) by TGV, the direct, high-speed train. Please note that seat reservations on the TGV are obligatory, and should be made when you buy your ticket. For details of timetables and fares, see the SNCF travel pages.

Motorways link Grenoble with Lyon and Paris, Geneva, Milan, Marseille and Barcelona. At Grenoble, follow signs for "Gares EUROPOLE" or "Polygone scientifique".

Please check with the nearest French Consulate or your travel agent well in advance of the meeting, for up-to-date information on visa requirements.

Shops and Services

Shops, banks and postal services can be found in central Grenoble. Please note that banks are closed on Saturdays and Sundays.

Weather

February in Grenoble is frequently crisp and cold. The average maximum temperature for mid-February is 8°C, and average minimum temperature 0°C. Frost and snow are possible, so you are advised to bring gloves and warm, weatherproof clothing and footwear. The forecast for Grenoble for the next 4 days is available at Yahoo Weather - Grenoble. If you intend to ski, remember also to pack sunglasses and protective sun cream.
